Job Title: Team Assistant
Location: Paris
Employment Type: Full-Time
Role and Accountabilities: To provide secretarial and administrative support to the Asset Management team, Financing, Legal, Compliance, Risk.
Accountabilities
- Diary management for Directors and asset management team
- Travel arrangements (hotels, flights, Eurostar, domestic trains, taxis, visas)
- Telephone liaison - answering and making calls on behalf of the team when necessary, taking messages
- Arrange internal and external meetings, presentations, webinars, book meeting rooms
- Management of conference calls
- Expenses processing
- Conference /event bookings
- Checking team members’ requirements and the logistics for conferences
- Formatting /creating Word, PowerPoint and Excel documents
- Copy typing
- Photocopying, faxing, scanning
- Filing/archiving
- Contacts –business card details into Outlook for senior members
- Supporting and covering other team secretary when required
- Payment follow-up and Invoice Billing
- Updating and following administrative, insurance and tax spreadsheets
- Banking Cheques
- Various administrative tasks
- Mail dispatch and Reception Back up
- Super user for Adobe-Sign for the Paris-based team
- Update of client contract registry
- Support to organize team training in relation with loi Hoguet
- Support to organise Diversity & Inclusion events
Required Qualifications & Experience:
- Excellent spoken and written French
- Fluent in English
- Excellent organisational skills and ability to efficiently multitask
- Maturity and professionalism to deal with incoming client calls and dealing with colleagues around the world.
- Accuracy and attention to detail
- Ability to work under pressure
- Excellent knowledge of Outlook
- Excellent PowerPoint, Word and Excel skills
