Role and Accountabilities: To provide secretarial and administrative support to the Asset Management team, Financing, Legal, Compliance, Risk.

 

Accountabilities

  • Diary management for Directors and asset management team
  • Travel arrangements (hotels, flights, Eurostar, domestic trains, taxis, visas)
  • Telephone liaison - answering and making calls on behalf of the team when necessary, taking messages
  • Arrange internal and external meetings, presentations, webinars, book meeting rooms
  • Management of conference calls
  • Expenses processing
  • Conference /event bookings
  • Checking team members’ requirements and the logistics for conferences
  • Formatting /creating Word, PowerPoint and Excel documents
  • Copy typing
  • Photocopying, faxing, scanning
  • Filing/archiving
  • Contacts –business card details into Outlook for senior members
  • Supporting and covering other team secretary when required
  • Payment follow-up and Invoice Billing
  • Updating and following administrative, insurance and tax spreadsheets
  • Banking Cheques
  • Various administrative tasks
  • Mail dispatch and Reception Back up
  • Super user for Adobe-Sign for the Paris-based team
  • Update of client contract registry
  • Support to organize team training in relation with loi Hoguet
  • Support to organise Diversity & Inclusion events

 

Required Qualifications & Experience:

  • Excellent spoken and written French
  • Fluent in English
  • Excellent organisational skills and ability to efficiently multitask
  • Maturity and professionalism to deal with incoming client calls and dealing with colleagues around the world.
  • Accuracy and attention to detail
  • Ability to work under pressure
  • Excellent knowledge of Outlook
  • Excellent PowerPoint, Word and Excel skills
