Objective of Role:

The Executive Assistant role will provide custom support to our sales team. Attention to detail, solution orientation and an ability to adapt to change will be essential as we strive to optimize the impact of our entire distribution team.

The role will report to the Managing Director, Head of Intermediary Distribution, work daily with our entire sales, marketing and national accounts team of 20 - 25 professionals. This role is full-time and based in Chicago, IL.

Accountabilities:

  • Supporting leadership team by owning functions such as:
    • Producing reports and presentations that track and analyze sales, activities, events and expenses      
    • Planning and execution of internal and external meetings and conferences
    • Calendar management
    • Travel coordination
    • Expense processing and management
    • Coordination of marketing materials
  • Partnering with HR to onboard new employees
  • Providing general administrative support to the broader distribution team
  • Providing back-up to Executive Assistant colleagues

 

Required Qualifications & Experience:

  • Excellent written and verbal communication skills
  • Strong organizational and time management skills
  • A working knowledge of CRM systems (Salesforce or others) a plus
  • Bachelor’s degree required, preferably in a business-related field
  • Ability to juggle multiple projects and work under pressure
  • Attention to detail
  • Excellent proofreading skills
  • Ability to work effectively in teams
  • Understanding of and commitment to client service
  • Advanced skills in Microsoft Office applications (Word, PowerPoint, Excel)
  • Six to ten years of related experience
  • Interest in financial markets a plus
