Team Overview: 

The fund management team is responsible for acting as a liaison for all other departments of the business with regard to the Fund. As such the role is both internal and external facing.


Role and Accountabilities:

To provide secretarial and administrative support to the team on a daily basis to ensure that their needs and the clients’ needs are met at all times. From time to time they may be required to assist other members of the sector and wider department. The team varies from surveyors to Senior Directors. This is an excellent opportunity for someone who is looking for a role where they will be able to develop and to really get involved with the business.

Key Secretarial Responsibilities:

  • Effective “gate keeping”: managing all incoming communication (including phone calls when the team members are out of the office), efficiently establishing priorities and ensuring that all correspondence and enquiries are processed in an accurate, professional and timely manner
  • Extensive diary management for all of the team.  This involves organizing client and internal meetings, lunches and dinners, and travel.
  • Creation of PowerPoint presentations and pitches to a high standard
  • Assist the team in going ‘paperless’ – scanning, filing, archiving
  • General Admin duties like formatting letters and raising and sending invoices to client
  • IT champion for internal systems/software to help assist the team when needed
  • Preparation of outgoing correspondence and various other documents - typing, amending, formatting and binding reports using Word, Excel, PowerPoint, PDF, including merging of documents
  • Meet and greet clients, including booking meeting rooms, equipment and organising refreshments as necessary
  • An understanding of the team’s priorities - communicate with the team, ensuring a high level of awareness of current priorities and whereabouts
  • Travel Management, Arrange all travel & hotel bookings and compile travel expenses
  • Other ad hoc tasks as and when required


Required Qualifications & Experience:

  • Secretarial/administrative experience, ideally within a Professional Services organization
  • Previous experience in the property industry would be an advantage
  • Excellent IT skills (Word, Excel, MS Outlook, PowerPoint) for the production of high quality documents, reports, correspondence and diary management
  • Experience of working with internal/external clients
  • Ability to prioritize and co-ordinate tasks efficiently ensuring all deadlines are met
  • Pro-active and enjoys working autonomously and as part of a wider team
  • Being ‘one step ahead’, i.e. knowing where they need to be, when and with the right paperwork
  • Maintains a positive attitude towards routine tasks
  • Accurate and exceptional attention to detail
  • Extremely professional and approachable whilst also being adaptable
  • Understands and appreciates the importance of using discretion
  • Excellent communication skills, both verbally and in writing (German & English)
